Does every business service need to be outsourced? Of course not, but it is important to know when to take advantage of using other vendors.
Many businesses are choosing to outsource because of the advantages it gives them. Outsourcing allows a company to have their business services addressed by trained professionals while their in-house staff can pay attention to core business projects. What should you expect from your vendors and vice versa?
When to outsource
You want to formulate the best budgeting for your business. For some business services, it may be more cost effective to complete services in-house, but you must place a value on time and resources. When you are outsourcing you are not spending your own time and employee resources on the project, they are being devoted somewhere else; so, you must calculate where and when your resources are most valuable to your business.
Consider the following:
- How important is the project in regards to revenue generation?
- Is this a one-time job or it recurs in cycles?
- How much less expensive will the job be to outsource?
- How much more expensive is it to outsource considering my business will be saving time and resources?
- Do we have in-house employees which have the skills to complete the job?
- How ‘attractive’ is this job to in-house employees?
- Can time and resources be better spent?
Answering these questions will help you determine if the decision to outsource is right for your business for this job and at this time.
Finding the right match
Another advantage of outsourcing is the variety of vendors to choose from. How do you select the right vendor for your project? There is no objective formula, but there are a few things to consider before making your final decision.
Spend a little time to do research. Are you friendly with other owners in your industry? What vendors have they chose in the past? Gather a list of available vendors and ask them for references. You can find out more about them from businesses which have used their services before.
Do the aspiring vendors have experience working with companies in your industry? Some business services are more closely related to particular industries than others. Choose a vendor which can relate to your needs and accurately address them.
Understand you will not have complete control of how the service is addressed. This may not be as important for some services in comparison to a project where your customers are involved. It necessary to make your vendor aware of the type of quality you expect from them. Outline all expectations for the vendor before signing a contract.
Fostering communication with your vendor will be important. Regular communication may be warranted for some services more than others. Establish a timeline with your vendor and assign a person in your company to keep contact with the vendor.
Do not completely rely on your vendor. It is always wise to have a backup plan in effect in case you become dissatisfied with your vendor or the finished product. Remember, you will not be immediately involved in the task; your vendor is working for you temporarily, but they are a separate entity.
